How do I reserve a conference/meeting room in the HMSU?

Contact Conference and Event Services at 812-237-3817. Registered student organizations and ISU faculty/staff may reserve HMSU spaces free of charge.

How much notice do I need to provide when requesting a conference/meeting room?

Two (2) business days in advance for rooms that require less than 50 people with no special setups or catering. Five (5) business days in advance for rooms that require less than 50 people with catering. Twenty (20) business days in advance for events larger than 50 people, and/or with alcohol requests, require security assessments, or insurance certificates.

How early can I get access to my reserved room?

Rooms may be unlocked by request up to 30 minutes before an event begins. Special arrangements for earlier access to reserved spaces must be coordinated through Conference and Event Services.

I have a reservation in an HMSU conference/meeting room. Can I bring my own food?

No. All food for reservable spaces must be acquired through ISU's food vendor, Sodexo.

Can I bring in personal food items into the student lounges (Starbucks, the Hub, and Commuter Connections)?

Yes.

I left an item in an HMSU conference/meeting room. Who do I contact for assistance?

The Information Center.

How do I reserve an Information Center table?

Please stop by the Information Center and fill out the appropriate forms. There are two tables around the Information Center and an additional four in the Commons. You may call 812-237-3999 or email at ISU-SalesAndSolicitationsHMSU@mail.indstate.edu. Customers must be part of a registered student organization or ISU faculty/staff department to be eligible to make a reservation.

Once I have a table reservation, what items can I bring/put on display?

Pamphlets, posters, display information material, and paper handouts are all acceptable. Food Items are also permitted at the tables around the Information Center but not in the Commons. All food items must be individually wrapped and packaged. Any food product that must be assembled to be sold or consumed, i.e., tacos in a bag, is prohibited.

What items are available from the Information Center?

Laptops, board games, calculators, Xbox controllers, PlayStation 4 Pro controllers, Nintendo Switch controllers, laptop and phone chargers, umbrellas, wheelchair, and walker are available. Some items, like the Xbox, PlayStation 4 Pro, and Nintendo Switch controllers require the Information Center to hold the customer’s ISU ID card until the items are returned.

What’s the deal with the Xbox One S, PlayStation 4 Pro, and Nindendo Switch gaming stations?

The Xbox, PlayStation, and Switch are free to use for ISU students and staff (must have a valid ISU ID card. Also, there is a 2 hour time limit per gaming session.

I would like to hang up fliers in HMSU. What do I need to do?

There are four bulletin boards on the pillars in the Commons, and two (only one in the Union) bulletin boards in the HMSU that do not require any special permission. Please do not pin a flyer(s) on top of someone else's material. Only one flyer per bulletin board.

How do I access the guest Wi-Fi?

When accessing the Wi-Fi, select 'ISU-Open' and follow the steps to register your device.If you have any questions, call the Information Center at 812-237-3999 or stop by the Information Center located in the HMSU.

Can I smoke in or around HMSU?

No. HMSU is smoke and tobacco free- this includes e-cigarettes and chewing tobacco. There are designated smoking areas around campus, and the Information Center can show you the location of appropriate smoking areas.

How do I hang a banner on the Commons Balcony (inside) or Pergola (outside) area?

All banners must be brought to HMSU room 207. The minimum banner size is 5' x 3' (wide by tall) and the maximum banner size is 10' x 5' (wide by tall). Customers who wish to hang a banner must call HMSU (812 - 237 - 3814) or email LuAnn.Reynolds@indstate.edu to make an appointment in order to stop by with their banner.
