All decoration plans must be reviewed with the HMSU Reservations Office prior to the event. This includes all information on props and/or rental equipment to be used.

Location: Decorations can be taped on the doors of the reserved room (not the glass in the doors) as well as the windows, door frames, bulkheads and walls.  Masking tape is the only tape acceptable to use to affix decorations.

Decorations should be used only in the room reserved, with the following exceptions:
 
  • Windows of Dede I, when Dede I is reserved.
  • Column outside of the main Dede II entrance, when Dede II is reserved.
  • Glass windows beside the doors in meeting rooms of floors 2, 3, and 4.

Decorations CANNOT be:
 
  • Attached to walls in Dede I, the University Suites (9th floor) or the meeting rooms.
  • Attached to draperies, blinds, chandeliers, light fixtures or ceiling grids.
  • Nailed, tacked or stapled to walls or equipment.
  • Attached to stairway handrails, operable door parts, nor can they interfere with the room and/or building entry or egress or fire door operation.
Balloons:  Balloons shall be in a fixed location and not released into the room.  Helium balloons must be weighted, or they can be tied to railings (except stairway) or chairs.

Candles: Use of  candles for any event requires written request submitted for approval to the HMSU Reservationists at least 10 working days prior to the event. The use of electric candles is preferred if candles will be held or moved.  If the candles are going to be held or moved, and electric ones are not an option, arrangements should be made and noted on the candle approval form of how the flooring will be protected.  Groups will be expected to provide a drop cloth or some other floor covering to stand upon while holding the candles.

Items NOT permitted:
 
  • glitter
  • confetti
  • rice
  • bird seed
 
  • sand
  • sequins
  • water
  • crepe paper

All decorations are to be carefully removed and taken with the organization at the end of the event.  HMSU is not responsible for items left in the room.  Any damages resulting in repair or replacement, or extensive clean up due to the removal of decorations, will be billed to the sponsoring department. No further reservations would be honored for said organization until the bill is paid.  Fees assessed will be up to the discretion of the HMSU Reservation staff.
