How do I see descriptions on cubes and reports? There are 2 ways to accomplish this:

 1. Click on the properties link which takes you to a page with the description

 2. Click on personalize which takes you to a page where you can click on the checkbox labeled "Show entry details" causing descriptions to be displayed below cubes and reports

What is the ISU Cognos Reporting System?

It is a system composed of data cubes and managed reports that have been developed for use by the ISU academic community

What is a data cube?

Data cubes are data displayed in a windows environment where one or more dimensions and levels can be compared to other dimensions and levels. Dimensions are major ways of categorizing the variables. Levels are ways of categorizing the variables within a dimension. Variables (called measures) are items like number of student enrollments and average GPA. ISU Data cubes have been developed for two types of data. First is Official data (Data recorded each semester at the 10-day report period (OFF) and again the end of semester period (EOS)). Second is operational or current data. This is data for the current term, one term back, and any future enrollments.

What is a managed report?

It is a Cognos program containing parameters that the person running the program (report) can enter to define the selection criteria for desired records. Managed reports are generated using tables (files) that are rebuilt each night to reflect that day’s processing. There are two versions of each managed report. One version is generated in PDF format and is for printing. The other version is generated in Excel format.

Who can use the data cubes and managed reports?

ISU data cubes and managed reports are available via the internet using a web browser (suggested browser to use is Internet Explorer 4.x or higher version). A logon ID and password must be assigned for a person to use either the cubes or managed reports. The logon ID must be assigned the right to use the cubes and the right to use the managed reports (cubes versus managed reports are separate access rights). There is no value based security on either the cubes or managed reports (i.e. if a logon ID can get to a cube or managed report, it can get to all data covered by the cube or managed report).

How do I logon to use data cubes and managed reports?

If you have an assigned ID, bring up a web browser and enter

http://cognos

for the URL. This will cause a login form to be displayed. This URL is a "shortcut" actual location which may change from time to time.

What cubes are available?

Official cubes involve data for either the 10-day report period (OFF) or for the end-of-semester period (EOS). Data is for each term since 1998. Summers are not included with 10-day report cubes. Summers are included with end-of-semester cubes. Official cubes are rebuilt only when there is data added to the official files. This happens twice each semester; once at 10-day reports and once at end-of-semester. The following official cubes have been released:

 -Official EOS Course Enrollments

    This cube contains End of Semester Report class enrollments and credit hours generated information since 1998. Summer terms are included.

    Variables or measures are credit hours and enrollments.

 -Official EOS Course Grade Distribution

    This cube contains End of Semester course grade information since 1998. Summer terms are included. All students with a "gradable" enrollment status (enrolled for credit or dropped/withdrew after automatic N) are included. The measures are Average Course GPA and Enrollments. The Enrollment measure is primarily for use with the Grade dimension, so that counts by grade assigned can be viewed.

 -Official EOS Student Head Counts

    This cube contains End of Semester Report student head counts and FTEs since 1998. Summer terms are included.

 -Official OFF Course Enrollments

    This cube contains 10 day report class enrollments and credit hours generated information since 1998. Summer terms are not included.

    Variables or measures are credit hours and enrollments.

 -Official OFF Student Head Counts

    This cube contains 10 Day Report student head counts and FTEs since 1998. Summer terms are not included.

Operational cubes involve data from the current term, the immediate previous term, and any enrollments for future terms. Operational cubes are rebuilt nightly. As of 8:00 am each morning operational cubes should reflect processing from the previous day. The following operational cubes have been released:

 -Operational Course Enrollments

    This cube contains current semester, one previous semester, and future class enrollments and credit hours generated information.

    Variables or measures are credit hours and enrollments

 -Operational Incomplete Grades

    This cube displays courses assigned an IN grade at grade retrieval and displays the default grade for the course, the final grade for the course when assigned and the outstanding requirements. Data begins with 200205 term.

 -Operational Student Enrollments

    This cube contains current semester, one previous semester, and future class enrollments and credit hours generated information.

    Variables or measures are enrollments FTE and hours enrolled

What is "Operational Data"?

Operational data is defined to be data for students who are enrolled in the current term or one term back or who are pre-enrolled in a future term. Example - If the current term is spring 2003 (200301) the operational data would be for those students who had been enrolled in 200205, 200301 or who have already pre-enrolled in 200303, 200304, or 200305. If the previous term is a summer term (03 or 04) both summer terms are included. If current term is either summer terms (03 or 04) then previous term is spring. Operational data is rebuilt nightly. Each morning between 3:00 am and 6:00 am, the operational data will reflect after the nightly processing was completed for the previous day. This is the reason part of the heading for each managed (on-demand) report includes, "Operational Data as of 6:00 am xx/xx/xx" where xx/xx/xx is the date on which the report was generated.

What data is used to produce the Managed (on-demand) reports?

Managed (on-demand) reports are produced using operational data. All managed reports have a prompt to select a term that will be used as part of the record selection process. Terms available for selection are the current term, the previous term, and any term that already has future enrollments.

What managed reports are available?

The following managed reports have been released:

 -Academic Advisor Audit with no pin.

    Find student’s advisors by Term, College, Department and Major

    Prompts for: Term, College, Department, Major

    Report shows Majors, Student name, ID, Student e-mail, Advisor, and a New transfer or New freshman indicator.

 -Academic Advisor Audit with Pin

    Finds student’s advisors and advisement pin by Term, College, Department and Major.

 Prompts for: Term, Pin Term, College, Department, Major

    Report shows Major, Student name, ID, Student e-mail, Advisement pin, Advisor, and New Freshman or New Transfer indicator.

 -Current Course Enrollment

    Report returns current course enrollment.

    This report can be run either by Department or by Instructor.

    Run by Department (excluding blank instructors): List courses by College, by Department, by Subject, course #, Section #, Title, Credit Hours, Day, Time, Bldg and Room. Lists the instructors for the course and the total student enrollment. This will page break when the Department changes.

    Prompts for: Term, College, Department, Instructor

    Run by Department (including blank instructors): List courses by College, by Department, by Subject, course #, Section #, Title, Credit Hours, Day, Time, Bldg and Room. Lists the instructors for the course and the total student enrollment. This will page break when the Department changes.

    Prompts for: Term, College, Department

    Run by Instructor: Same information as above but by College, by Department, by Instructor.

 -Midterm Grades

    Midterm Grades for students.

    Prompts for: Term, College, Department

    Report shows Student name, ID, Academic Standing, major, E-mail, Cum GPA, Midterm Grade, Advisor, Instructor, Course Title.

 -Current Course Enrollment Summary and SCH

    Enrollment counts and credit hours generated by Department.

    Prompts for: Term, Department

    Report shows Department, Student Level, Course level, and totals for Enrollment counts by course level and totals for Credit hours generated by course level.

 -GPA Range

    The report finds specific students falling into various GPA ranges that are selected. Report can be run for Continuing, New Transfer, New Freshman, Grad 1 term only, New Graduate, Non degree, Re-admit or returning, Continuing Grad, for specific Majors.

    Please keep in mind there will not be Term GPA until the term has been graded.

    Prompts for: Term, Student Type, Class, Value, Cum GPA, Major

    Report shows student type, Major, GPA evaluation criteria, class, student name, ID, E-mail, Cum GPA, Cum hours earned, Cum quality hours, Cum quality points, Term hours enrolled, local and mailing address. .

 -Class/Major/CumGPA Report

    List of all students enrolled in the College or Department selected, with Major and Cum GPA.

    This report can be run for a College or a Department.

    Prompts by College: Term, College

    Prompts by Department: Term, College, Department

    Report returns Name, ID, Classification, Major, Cum GPA, Cum Quality Hours, Cum Quality Points, Cum Hours Earned

 -Student Holds that Prevent Registration

    This report returns students that are unable to register due to holds or graduation.

    Prompts for: Term, College, Department

    Report returns Department name, Student name, ID, e-mail, Major, Advisor, Hold Code, (hold code information can be found on Banner) Graduation Term, Graduation Date, (this information will be present if the student has been awarded a degree) Local Phone, Local Address, Mailing Phone, Mailing Address.

    Major and Minor Reports

    All of these reports will return student by major or minor selected. All of the reports will sort by College, then Student Type. (Continuing student will be first, Grad Term 1, New Freshman, etc. If that student type doesn’t exist in the Major or Minor chosen, it will not return on the report.)

 -Major and Minor Report

    This report will find students that have 1st or 2nd Majors and 1st or 2nd Minors in the selected criteria.

    Prompts for: Term, Major, Minor, Student Type

    Returns: College, Student Type, Level, Class, Name, ID, Advisor, 1st Majors, 2nd Major, 1st Minor, 2nd Minor, Local Phone, Local Address, Mailing Phone, Mailing Address and E-Mail.

 -Major Only Report

    This report will return students with a 1st or 2nd Major of the selected criteria.

    Prompts for: Term, Major, Student Type

    Returns: College, Student Type, Level, Class, Name, ID, Advisor, 1st Major, 2nd Major , 1st Minor, Local Phone, Local Address, Mailing Phone, Mailing Address and E-Mail.

 -Minor Only Report

    This report will return students with a 1st or 2nd Minor of the selected criteria.

    Prompts for: Term, Minor, Student Type

    Returns: College, Student Type, Level, Class, Name, ID, Advisor, 1st Major, 1st Minor, 2nd Minor, Local Phone, Local Address, Mailing Phone, Mailing Address and E-Mail.

    Major & Minor reports with statistics

    Find a select group of students based on Major, GPA totals and Total hours earned.

 -Major and Minor Report with Stats

    This report will find students that have 1st or 2nd Majors and 1st or 2nd Minors in the selected criteria.

    Prompts for: Term, Major, Minor, Student Type, Value criteria GPA, GPA, Low end of Hours Earned, High end of Hours Earned

    Returns: College, Student Type, Level, Class, Name, ID, Advisor, 1st Majors, 2nd Major, 1st Minor, 2nd Minor, Term Hours enrolled, Cum Hrs Earned, Cum Quality Hours, Cum Quality Points, Cum GPA, Local Phone, Local Address, Mailing Phone, Mailing Address and E-Mail.

    Returns: College, Student Type, Level, Class, Name, ID, Advisor, 1st Major, 1st Minor, 2nd Minor, Term Hours enrolled, Cum Hrs Earned, Cum Quality Hours, Cum Quality Points, Cum GPA,Local Phone, Local Address, Mailing Phone, Mailing Address and E-Mail.

Can more than one value be selected from the drop down window in a managed report prompt?

Yes, by holding the Ctrl key down multiple values can be highlighted and selected. Click on your first selection, hold the Ctrl Key down and click on your next selection.

Are values displayed in a managed report prompt drop down windows subsets of prompts already selected?

Yes - Example only majors are displayed in the drop down window prompt that are valid for the department(s) already selected.
