Steps to Follow for International Students

  1. Read and follow the instructions for using the Applicant Tracking System for applying for student positions.
     
  2. If the department with the position you applied for chooses to hire you, the supervisor must fill out, print, and sign the lower section of the referral form. Make sure the Referral Form is filled in completely.
  3. If you already have a Social Security Card, skip to step 5.

  4. You must have a job to apply for a Social Security card. Once you have been hired, get a completed and signed Referral Form from your employer. If you have a Graduate Assistantship, you must get a copy of your Graduate Assistantship Pay Authorization form from your employer.
     
  5. Go to the International Affairs Center and show your completed Referral Form, which is proof of employment at ISU. International Affairs will give you two letters. The first letter verifies that you are enrolled at ISU and the second letter verifies that you are employed at ISU as a student worker.
     
  6. Go to the Social Security Administration Office to apply for a card. You will need to take the following with you:
    • Letters from International Affairs Center
    • I-20
    • Visa
       
    Since a student is not supposed to begin work until he/she is able to show proof of a social security number, an international student who has recently applied for a number can either:
    • Wait until the Social Security card arrives in the mail and bring it to the Student Employment office along with the documents listed in Step 5, or
    • Request a receipt from the Social Security Administration which shows the Social Security number that has been issued to student and bring the receipt to the Student Employment office along with the documents listed in Step 3. The receipt is usually available from the Social Security Administration two to three days after applying for a Social Security number.
       
      If the receipt is used, then you are required to bring in the original card to the Student Employment office when it arrives in the mail.

     
  7. Take the following documents to the Student Employment office:
    • Original Social Security card or receipt (only applies to student’s that did not previously have a SS number) showing Social Security number
    • I-20
    • Visa
    • Referral Form from employer
    • Documentation which shows the routing and account number for direct deposit – this can be a blank check with VOID written across the front, an account card which comes with your checking account, etc.

     
  8. Each new hire will need to complete an I-9 form, release forms, Direct Deposit form, a state tax form, and a background check form. Those who have worked on campus before will have their I-9 status checked.
     
  9. Next, you must go to the Payroll office where you will fill out your W-4 withholding form and a Non-Resident Data Sheet. Please bring the following documents with you:
    • Visa
    • I-20
    • Social Security card (you must take your original card, not a receipt)

     
  10. When the paper work is complete, you will be handed a receipt that will serve to tell your supervisor that you are eligible to begin working, and, they can expect to find your name on the next Payroll Recap form.
     
  11. You may have more than one job at a time; however, you may not work more than 20 total hours per week while classes are in session (37.5 hours per week in the summer). All of your earnings will be combined and deposited in the bank you indicated on the Direct Deposit form. You will receive an e-mail showing the net amount that has been transferred to your bank account.
     
  12. When you are on the payroll system, you will be paid every other Friday on the basis of the hours worked during the two weeks prior to the week you are paid. The time sheet your supervisor provides is an official document and you are responsible for filling it out thoroughly and accurately. It will not be processed until it is signed. If you forget to sign your name, your supervisor may not sign your name for you.
